Market Research, discussion and proposal
As a starting point, we will research your home and homes like yours in the local area that are currently on the market or recently leased. The aim is to form an objective idea of your property and prepare for our first meeting.
At our meeting, we will walk through your home, discuss your needs and goals and present you our property management services.
Once you have made up your mind, an Agency Agreement and a condition report of your property will be completed and we will commence working on the next steps.
Property Promotion
It is well known that first impressions are the most important and that is why presentation of your property in its best light is paramount. If you don’t have professional photography ready, we can organise a photography session to take photos and use them to promote your property. Once the photos are ready, we will commence marketing your property and will organise open home inspections both during the week and on weekends.
At these inspections our agents will highlight the home’s features and assist the prospective tenant with any questions whilst assessing them for suitability.
Tenant appraisal
Upon receiving applications we will run all the appropriate reference checks against our criteria of employment, rental stability and financial capacity. If required, the applicants would be contacted to provide more information.
Once reference checks are completed we will make recommendations about the suitability of such applicants and contact you for approval.
Tenancy Agreements and rent collection
Once the tenancy Agreement has been signed by your new tenants you will receive a copy for your records. You will also be able to consult the lease via the landlord portal.
We follow strict procedures to protect you and ensure a seamless experience. Reservation fees, bonds, and cleared funds must be in place before we release keys to your new tenant.
All rents are paid by direct debit, and scheduled to run before the due date. This system enables us to efficiently manage shared households and provides advance warning of any dishonours, giving time for our property managers to contact tenants to make alternative arrangements.
Direct debit is also used to collect payments for water usage charges.
Maintenance
Timely property maintenance is critical to maintaining the value of your asset as well as keeping tenants happy. Through the PropertyMe tenant app, your tenants are able to report any maintenance required at the property. At the same time, your property manager will report any maintenance required during the routine inspections.
At Exchange we have a team of tried and trusted, fully licensed tradespeople who handle all maintenance on the properties we manage. On request we can also coordinate larger scale works that can add value to your property.
Financial reporting
As part of our services we provide monthly and year-end statements. These, along with the ability to view tenant payments and property related bills via our secure online portal keeps you fully informed. For your convenience, a depreciation schedule can also be provided at cost.
Rental increases
We recommend annual rental reviews that take into account the tenancy situation, a comparative market analysis and the current condition of the property. If appropriate, rental increases are proposed and agreed in consultation with you.
Annual review
Our aim is to help you leverage your property investment over the long term. To do this we will conduct an annual review of your property that includes:
- The condition of the property
- The current rent
- Required maintenance
- Potential for major asset improvements and equity growth.
Following this annual review you will receive a property inspection report along with relevant photos.
